Job Description

PODS Enterprises LLC, a leader in the moving and storage industry, is currently seeking an Executive Assistant to work out of our corporate headquarters in Clearwater, Florida.


  • Works as partner with Chief Customer Officer, Chief Information Officer and additional senior leadership to organize and manage daily administration to assist and support them in driving the business as needed
  • Utilizes time management skills and organization skills to assist with management of department overall
  • Perform with sense of urgency management of daily calendar, correspondence, meeting organization, travel and expense preparation
  • Seeks to determine most efficient ways for Sr. executives to manage their day
  • Ensures Sr. leadership is prepared for meetings with documents and summaries
  • Receive and screen communications as needed, including telephone calls and email messages, using independent judgment to determine priority attention and responds as needed
  • Respond to inquiries from external and internal clients; escalating customer complaints if/when needed. Drafts correspondence as needed
  • Coordinate Travel arrangements for the Sr. executives
  • Coordinate Franchisee Conference and other department meetings and activities
  • Prepare PowerPoint presentations/coordinate participants for Monthly and Quarterly MPR meetings, Town Hall meetings, etc.
  • Arranges corporate travel and meetings by developing itineraries and agendas, scheduling flights, booking other transportation, arranging lodging and meeting accommodations through Egencia 
  • Handle various special projects and administrative functions as needed
  • May perform other duties and responsibilities as assigned in support of the general teams overall
  • Acts with discretion and professionalism at all times understanding they are a reflection of the Sr. leadership team


  • Typically reports to Management. Direct supervisor job title(s) typically include: Chief Customer Officer
  • Job is NOT directly responsible for managing other employees (e.g., hiring/termination and/or pay decisions, performance management)

Job Requirements


  • Minimum of 3 years of experience as an executive assistant reporting directly to senior management
  • Advanced MS Office skills
  • Strong organization skills and ability to prioritize tasks
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Superior written and verbal communications skills
  • Must display professional demeanor and positive attitude
