Job Description

JOB SUMMARY

Responsible for supporting the PMO and performing administrative functions including scheduling meetings, dealing with vendors and contractors, onboarding and offboarding employees / contractors, ordering food and supplies and managing/approving timesheets.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Work with PMs, IT Management and cross-functional Leadership to help schedule meetings, arrange conference calls, order food and supplies and prep rooms as needed
  • Work with PMs to help develop project plans, including (but not limited to) milestones, user acceptance testing and sign-offs
  • Help keep project dashboards and project status reports up-to-date as needed, helping to gather required information in a timely fashion
  • Support recruiting efforts working with HR and outside recruiters to organize resumes, arrange interviews and then onboard/offboard resources as required
  • Approve timecards and work with vendors to ensure contractors are paid on time and look for ways to help streamline the process
  • Keep org charts and contractor lists up-to-date for reporting and budget tracking purposes
  • May perform other duties and responsibilities as assigned

MANAGEMENT & SUPERVISORY RESPONSIBILTIES

  • Typically reports to Management. Direct supervisor job title(s) may include: IT Senior Manager and IT Director
  • Job is NOT directly responsible for managing other employees (e.g., hiring/termination and/or pay decisions, performance management). Job title example(s) of employees directly supervised: Various IT Contractors

Job Requirements

 JOB QUALIFICATIONS: Education & Experience Requirements

  • Bachelor’s degree in MIS or Business Administration, or equivalent experience a plus
  • PMI Certification a plus
  • 1 - 3 years direct experience as a PM Administrator or equivalent experience
  • Experience with Waterfall & Agile SDLC methodologies a plus
  • Experience Microsoft Project a plus
  • Proficiency with Agile PM software-tools and other PPM Applications a plus
  • Able to exercise best judgment in planning and executing schedules
  • Possess math skills sufficient to perform required duties
  • Or an equivalent combination of education, training or experience
